How to Write a Prompt for a Real Estate AI Chatbot

If you want to launch an AI chatbot for a real estate agency but don’t know where to start — start with the most important thing.

What Is a Prompt (In Simple Terms)

A prompt is an instruction for AI.
In simple words, it’s the “job description” of your chatbot:
  • Who it is
  • What it does
  • How it speaks
  • What it is allowed to do
  • What it is not allowed to do
If the instruction is poorly written, the bot will respond strangely, make things up, and sell the wrong services.
Below is a clear, human-friendly explanation — even if you have zero IT background.

Step 1. Prepare Your Knowledge Base (Do Not Skip This)

Before writing a prompt, you need to collect everything that already works inside your company.
Divide the information into three blocks.

  • Block 1 — About the Company

Include:
  • Who you are
  • What you do
  • Your expertise
  • How your process works
  • Your competitive advantages
This is the foundation.
Without it, the bot will respond vaguely and without confidence.

  • Block 2 — Scripts

Add:
  • Sales scripts
  • Niche-specific scripts (new developments, resale properties, rentals, etc.)
  • First-contact scripts
  • Qualification scripts
  • Objection-handling scripts
In simple terms — everything your managers already use.
If it works for humans, it should work for the AI chatbot.

  • Block 3 — Dynamic Data (VERY IMPORTANT)

This includes information that changes constantly:
  • Property availability
  • Current listings
  • Prices
  • Promotions
  • Any frequently updated data
⚠️ This data should NOT be placed inside the main prompt.
Otherwise, you’ll have to rewrite it every day.
Dynamic information must be connected separately — through a knowledge base or integrations.

The Most Important Rule

Clearly separate:
✔ What belongs in the prompt
❌ What must not be included
The prompt must not contain information that changes daily or hourly.
Otherwise, the system becomes unstable.

The Ideal Prompt Structure for a Real Estate Agency

  • 1. Role and Context

Take documents from the “About the Company” block and create a short summary:
  • Who we are
  • What we do
  • Our expertise
  • The chatbot’s role
Example:
You are an AI consultant for a real estate agency.
You assist clients with buying, selling, and renting property.
You operate within the company’s policies.
You communicate in a polite and expert tone.
This is the foundation.
If the role is not clearly defined, the bot may start “playing” any role.

  • 2. Sales Scripts

Add EVERYTHING that actually works for your managers.
Don’t cut corners.
If managers ask clarifying questions — the bot should do the same.
If managers guide clients toward a target action — the bot should do that too.
AI should not improvise instead of your sales department.

  • 3. Objection Handling

This should be a separate section.
Examples of objections:
  • “It’s too expensive.”
  • “I’ll think about it.”
  • “We’ll try to sell it ourselves.”
  • “Your commission is too high.”
All of this should be written directly into the prompt.
Example of a boundary:
If a client asks:
“Can you help me sell my car?”
The bot should respond:
“We operate exclusively in the real estate sector.”
No fantasies.
No “Well, we could try.”

  • 4. Limitations — The Most Important Section

This is the block that 90% of companies ignore.
And then they wonder why the bot gives strange answers.
Without limitations, a bot may:
  • Invent facts
  • Provide legal advice
  • Provide medical advice
  • Recommend competitors
  • Reference unverified sources
  • Go beyond its area of expertise
You must clearly specify:
  • Do not recommend competitors
  • Do not provide legal advice
  • Do not provide medical advice
  • Do not confirm information that is not in the knowledge base
  • Do not go beyond real estate topics
  • If information is missing — state that honestly
No limitations = unstable system.

  • 5. Additional Logic

If you have:
  • Checklists
  • PDFs
  • Guides
  • Links
  • Instructions
You can integrate them into the prompt logic.
Example:
If a user requests a checklist for selling an apartment — send this link: [link]
In other words, the bot doesn’t “decide” what to do.
It follows predefined logic.
